Your data

Privacy Policy.

How ARAXDA collects, uses, stores and protects your personal data — in plain language. Last updated 23 October 2026.

1. Who we are

ARAXDA ("ARAXDA", "we", "us") is a technology studio based in Ghana. We are the data controller for personal data collected through araxda.com. For anything relating to your data, contact us at hello@araxda.com or +233 55 902 3009. We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843).

2. What we collect

Job applicants: your name, email, phone number, location, CV, cover letter, links you share (e.g. LinkedIn or portfolio), education and availability; our internal notes and interview details; and, if you receive an offer, your contract, electronic signature, and the date, time, IP address and device used when signing.

Enquiries: when you use our contact form or message us on WhatsApp — your name, email, phone number, company and the details of your project.

Website assistant: the messages you send to Araxda Assistant, any contact details you choose to share in the chat, the satisfaction rating and comment you may leave when a chat closes, the page you started on, and your IP address and browser type (for security and abuse prevention).

Newsletter: your email address, if you subscribe.

Technical data: standard server logs (such as IP address and browser type). The assistant remembers your conversation in your own browser's local storage so you can continue it later; clear your browser data to remove it. While you browse, our team can see anonymously which page is open (a random session ID, the page and your device/browser type) so we can help in real time — this is held in memory only and never stored. We also keep anonymous daily totals of visits and page views — which pages, the type of device and the domain of the website that sent you (for example linkedin.com) — with no cookies, IP addresses or anything that identifies you; these totals are deleted after 25 months. If the website breaks in your browser, it sends us the error message and the page address (never form contents) so we can fix it. We don't use advertising or tracking cookies. Staff who sign in to our admin area use a secure session cookie.

3. Why we use it

  • To assess and manage job applications — including contacting you, interviews, offers, contracts and onboarding (based on your consent and on taking steps to enter into a contract with you).
  • To respond to enquiries and follow up on project requests you send us or contact details you share with our assistant (based on your request and our legitimate interest in replying).
  • To run the website assistant — to answer your questions, and to let a team member take over the conversation when you ask for a person.
  • To keep our services secure — preventing spam, abuse and fraud.
  • To meet legal obligations — for example employment and tax records for people we hire.

4. Where your data is stored

Application data, CVs, contracts, enquiries and assistant conversations are stored in our own database and file storage on our secure web hosting server (provided by Hostinger). Access is limited to authorised ARAXDA staff using individual, password-protected accounts.

Copies of applications, enquiries and signed contracts are also sent to our business email inbox, and we may contact you from our Microsoft 365 business accounts. If you contact us on WhatsApp, your messages are handled by WhatsApp (Meta) under its own privacy policy.

Messages you send to Araxda Assistant are processed by Anthropic, the provider of the Claude AI model, solely to generate the assistant's replies. Under Anthropic's commercial terms, this data is not used to train its models.

Some of these providers may process data outside Ghana. Where they do, we rely on their contractual and security commitments to protect it.

5. How long we keep it

  • Unsuccessful or withdrawn job applications, including CVs: deleted 12 months after the decision.
  • People we hire: kept as part of employment records for as long as the law requires.
  • Assistant conversations: deleted 12 months after the last message.
  • Enquiries and follow-up details: deleted 24 months after we receive them, unless you become a client.

6. Who we share it with

We don't sell personal data. We share it only with the service providers named above (hosting, email, AI processing and WhatsApp), with professional advisers where necessary, or when required by law.

7. How we protect it

We use encrypted connections (HTTPS), hashed passwords and access tokens, restricted staff access, rate limiting and abuse protection, and private, unguessable links for applicants. No system is perfectly secure, but we work hard to protect your data and will notify you and the authorities of any serious breach as required by law.

8. Your rights

Under the Data Protection Act, 2012 (Act 843) you can ask us to: access the personal data we hold about you; correct it; delete it; or stop using it. You can also withdraw your consent at any time — for example, to withdraw a job application.

To make a request, email hello@araxda.com. We'll respond within a reasonable time and may need to verify your identity. If you're unhappy with how we handle your data, you can complain to the Data Protection Commission of Ghana.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date below shows the current version, and we record which version each applicant accepted.
